CALL FOR SYMPOSIA - SLEEP EUROPE 2026

The success of Sleep Europe 2026 in Maastricht, Netherlands, will be strongly influenced by the symposia topics. Our objective is to ensure comprehensive representation across various sleep-related domains, including Basic Animal, Basic Human, Mental Health, Neurology, Paediatrics, Public Health, Respiratory, and Sleep Technology.

All members of the European Sleep Research Society (ESRS) are invited to contribute to the programme by proposing a symposium.

CALL FOR ABSTRACTS - SLEEP EUROPE 2026

The ESRS is pleased to invite you to submit abstracts for consideration and possible presentation at Sleep Europe 2026 to be held in Maastricht, The Netherlands, 20-23 October 2026.

Our objective is to ensure comprehensive representation across various sleep-related domains, including Respiratory, Neurology, Psychiatry, Peadiatric, Public Health, Basic Animal Research, and Basic Human Research. With the call for symposia all members of the European Sleep Research Society (ESRS) are invited to contribute to the program by proposing a symposium for the 27th Congress of the ESRS.

GUIDELINES

All abstracts must be prepared according to the guidelines below. Please read them carefully. 

Guidelines for preparation and submission of abstracts

  1. Abstract submission opening: Monday, 15 December 2025. 
  2. Abstracts may only be submitted online.
  3. Abstracts must be submitted and presented in English. Please use UK English spelling. 
  4. Your abstract should have a short, specific title not exceeding 25 words 
  5. The abstract text may not be longer than 350 words excluding disclosures, and must use the following structure: 
    • Introduction
    • Methods
    • Results 
    • Conclusions 
    • Funding (optional)
  6. The introduction should outline the background and goals or hypotheses of the study. The methods and the results should be informative, and the conclusions must be supported by data; evasive statements like “the findings will be discussed are to be avoided. Submitters of primary research reports are encouraged to report the sample size and statistical details (statistical tests, p-values, effect sizes) wherever appropriate in their abstracts. 
  7. Disclosures of financial conflicts of interest related to the submitted abstract are mandatory.
  8. Case studies, registered systematic reviews, registered study protocols, new open-science resources (databases, software, etc.), and encore presentations (i.e. abstracts presented at a previous meeting) may be submitted for consideration.
  9. All abbreviations must be defined at first appearance in the abstract text. Do not define or use abbreviations in the title. 
  10. Tables, charts or other graphics may not be included and will be deleted by the system.
  11. The presenting author of an accepted abstract must register and attend the congress in person
  12. Authors should indicate their presentation type preference:
    • Oral presentation.
    • Poster presentation 
  13. A selected number of abstracts for each scientific track will be accepted for oral presentation based on their scientific merits. These abstracts may also be presented as a poster. Oral presenting authors will be given the option to present their work also as a poster to maximise visibility and discussion time, and will be asked to confirm whether they wish to do so. Abstracts not selected for oral presentations will be automatically considered for poster presentation. The Scientific Committee reserves the right to decide on the final allocation and presentation method.

Corrections to abstracts can only be made up to the deadline of Monday, 23 March, 23:59h CET.

This information will be used by the Scientific Committee to ensure that each abstract is reviewed by peer reviewers with specific expertise. Poster Printing Service Available

Sleep Europe 2022 is pleased to make poster printing available to you through our supplier Proelectro.

Your poster will be professionally printed, and you will be able to pick it up from the poster desk at the poster area during the congress. Printing, packing and delivery to the congress venue will cost EUR 50 + 24% VAT.

Please note the deadline Monday, 19 September 2022 (17:00 CEST) to submit the poster file for printing.

Here are the details:

Step 1: Prepare your poster in a ready to print file as PDF or JPEG, W 80 × H 120 cm (portrait) according to the paper poster instruction.

Step 2: Send the file to pevripidou@proelectro.gr. Please state your name and poster number in the email.

Step 3: Pick up your poster onsite at the poster desk.

Notification

Each abstract will be reviewed by a panel of external experts and/or ESRS Scientific Committee members. Abstract ranking and shortlisting will be performed by the Scientific Committee, then final selection will be made by the ESRS board. Notification of acceptance or rejection of submitted abstracts will be sent to the corresponding authors via email before the end of July 2026. Full instructions concerning preparation and presentation will be included in the notification. 

Publication

All accepted abstracts will be published in the Journal of Sleep Research online, as well as on the congress website 2 weeks prior to the Congress.

Travel Grants

A limited number of travel grants will support attendees requiring financial assistance, particularly individuals at the early stages of their careers. We also have a limited number of grants to support sustainable travel. These will support successful authors to choose more sustainable forms of travel to the congress, for example, train travel. Successful applicants will be asked to provide evidence of their travel upon receipt of the grant or after booking travel.

Only presenting authors of accepted abstracts who are not being sponsored by any other funding sources are eligible for travel grants. To apply, please tick the relevant box on the online abstract submission system and upload an application consisting of a short curriculum vitae with your date of birth, affiliation, current position or course where you are enrolled, list of publications, including conference abstracts, and a signed declaration that you are not being sponsored by any other funding sources. The document should be submitted as a PDF file (size limit 1 MB). Incomplete or late (after the final abstract submission deadline) applications will not be considered. In case of technical difficulties with uploading your application, please contact esrs.abstracts@congrex.com. The outcome of the application will be announced by the end of July 2026, after notification of abstract acceptance.

Early Career Scientists’ Symposium 

The ESRS will provide a special platform for the presentations of excellent work of early career professionals (e.g., MSc and PhD students, postdoctoral researchers, or clinicians) who obtained their PhD or master’s degree within the past 10 years. Please upload an application consisting of short curriculum vitae with your age, affiliation, position, education, publication list, and congress participation

The ESRS is pleased to invite you to submit abstracts for consideration and possible presentation at Sleep Europe 2022 to be held in Athens, Greece, 27 – 30 September 2022.

Late Breaking abstracts should contain data or relevant information that was not yet known or available by the normal submission deadline. Please note, the late breaking submission period is intentionally long to accommodate summer vacations. There will NOT be an extension to this deadline.

The ESRS Scientific Committee reserves the right to reassign the track of a symposium proposal based on its scientific content and to proceed with reviewing and programme assignments accordingly.

GUIDELINES

The following criteria and procedures will apply. Please also review the Instructions for Submission for step-by-step details on preparing and uploading your proposal.

  • Symposium proposals must be submitted by a member of the ESRS in good standing with the payment of membership fees and willing to chair the symposium. Proposals must be submitted exclusively through the dedicated online system.
  • There should be no more than 4 speakers. The 4 speakers should come from different institutions or at least have different affiliations
  • All submissions should reflect speaker diversity in line with the Recommendations for Symposium Proponents Regarding Equality, Diversity, and Inclusion, elaborated by the ESRS Equality, Diversity and Inclusion (EDI) Committee and the Scientific Committee (SC), and aligned with the ALBA network declaration.
  • Note that the proposed speakers must already have agreed to participate in person. Requests for changes to the symposium structure (including speakers and communication titles, and content) after the submission and acceptance of symposium proposals should be considered as exceptional. Any such request should be duly justified and will be evaluated by the ESRS Scientific Committee, possibly resulting in rejection of the revised symposium proposal. Proposers are requested to inform the speakers that no financial support is provided by the ESRS to symposium participants, and that congress registration fee is not waived.
  • When submitting a symposium proposal, please nominate a Chair and a co-Chair. Submitters are encouraged to include at least one Chair who is at an early- to mid-career stage. One or both Chairs may also serve as speaker in the same symposium. The Chairs are responsible for liaising with their speakers.

  • An individual can serve as a speaker in one symposium and also co-chair that symposium. Additionally, the same individual can chair a second symposium where he/she is not a speaker. An individual cannot serve as a speaker in more than one symposium. If the final selection of symposia includes contributions by a given individual that do not satisfy these criteria, the ESRS Scientific Committee will contact the Chairs of the corresponding symposia to resolve the problem.

  • The format of symposia should be clearly different from an oral presentation session in that they should have an integrative nature. We especially encourage submissions of “perspectives symposia”, which offer a stage for differing and potentially conflicting perspectives on a specific topic. Submissions including discussion of recent data by the speakers (i.e., unpublished data, pre-prints, peer-reviewed papers in press or to be published in 2026) are encouraged.

  • The duration of each symposium is 90 minutes.
  • Symposia must be categorised by proposers with respect to the following tracks:
