Calls for Symposia and Abstracts

The call for symposia opened from 15 July to 8 October, with a deadline extension til 15 October.

The call for abstracts was open until 23 March and then extended until 1 April. 

Yes, no presenting author should have more than 2 accepted abstracts.

Yes. A limited number of travel grants will support attendees requiring financial assistance, particularly individuals at the early stages of their career or those working in lower-middle- and low-income countries according to the World Bank classification.

Only presenting authors of accepted abstracts who are not sponsored by any other funding sources are eligible. This funding is already closed.

Sleep Europe 2026 is planned as a hybrid (onsite and digital) congress.

Maastricht is well connected by international airports, train services and road networks, making it easily accessible from across Europe and beyond.

The congress venue MECC Maastricht is easily accessible for disabled visitors and people in wheelchairs. All spaces are accessible by lift, and the aisles in the complex are spacious, and all have even surfaces. There is a disabled toilet on each level.

Registration

Registration is already open. Participants can currently benefit from reduced congress fees available until 28 July 2026. We encourage early registration to take advantage of the lower rates. For full details and to register, please visit the Registration page.

Registration fees vary depending on the participant category (e.g., ESRS member, non-member, student) and the registration period. Reduced congress fees are currently available for early registrations until 28 July 2026. After this date, standard registration rates will apply.

To proceed with your group registration, please log in / create a profile here.  Once logged in, please click on the tab «group registration». The first step is to buy a contingent by selecting the number of required registration tickets per category. You will receive a confirmation/invoice by email. 
 
Payment can either be done by credit card (Visa, MasterCard or Amex) or bank transfer. A different invoice address can be added separately. 
 
Individual participant’s data can be entered under «add participants» You can either add them one by one or upload the name list.  To upload the name list, please click on «import» and »get template». Please fill in the excel file, all columns marked with an * are mandatory. You can then «upload» it to import the data. 
 
To register your delegates, the following data is required for every participant: 
 
Email address (please use a valid and unique email address per person) 
First and last name 
Country 
Proof of status if the registration category requires it (e.g., Trainee (Student/Fellow/Junior Researcher) or Nurse and AHP) 
Prescriber confirmation (are you qualified to prescribe? Yes/No) 
Once the entry of participant data is completed, the registration tickets need to be allocated to the participants (click on «Distribution» to allocate the tickets). 
 
It is possible to purchase registrations without having all group members’ details prior to the early bird deadline. However, by 13 October 2026 at 23:59 CEST, you must enter/ upload your group members’ details and assign all purchased registrations via your group registration account. 
 
Registration confirmations can be sent to your guests in your group account. Please click on «group registration» and «registration confirmations». The registration team will send no confirmations to your guests. 

Yes, onsite registration fees are subject to 21 % Dutch VAT

Yes, online registration fees are subject to the national VAT rate

Your username is the email address that you have used for registration. If you do not remember your password, please click “Forgot password?” and a new one will be sent to your email. Please also check your spam inbox in case you haven’t received the email.

Please get in touch with registration.esrs@congrex.com. The registration team will check the member status and change the category in your account.

If you are no longer able to attend, you may cancel your registration by contacting
registration.esrs@congrex.com.

Participants have the right to cancel their registration within 14 days of receiving the registration invoice email. The right of withdrawal is lost if the participant attends the congress before the expiry of this period.

Yes. Corrections of spelling mistakes or swapping first and last names due to incorrect submission are possible for a fee of €10.

Yes. The European Sleep Research Society offers several Sleep Europe grants designed to support participation in the congress.

These include:

  • Sleep Europe Travel Grant – supports attendees who require financial assistance to attend the congress, particularly early career researchers and individuals working in lower-middle- and low-income countries according to the World Bank classification. Applications are linked to the abstract submission process.

  • Sleep Europe Caregiver Grant – supports participants who have caregiving responsibilities, helping to facilitate their attendance at the congress. Applications will open soon.

  • Sleep Europe Sustainable Travel Grant – supports participants who choose more environmentally sustainable travel options when travelling to the congress. Applications will open soon.

Travel

The Congress works with Congrex Switzerland as its official accommodation partner. ESRS does not manage hotel bookings directly; accommodation can be booked via the official partner through the congress website.

The Netherlands is a member of the European Union (EU) and the Schengen area. Therefore, most tourist visitors do not require a visa to visit Vienna, just a valid passport (or ID card for EU citizens).

If you are travelling from a country that needs a Schengen visa, you will need to plan and apply in advance. You can find more information about which countries need a visa and how to apply on the European Commission website.

The organisers will be pleased to send a letter of invitation to any individual requesting one, once their registration and fee have been received. It is to be understood that such an invitation is intended to help potential participants obtain a visa. It is not a commitment on the part of the congress to provide any financial support. You may request such a letter during the online registration or from the Congress Secretariat at registration.esrs@congrex.com.

Currency

All official prices are indicated in Euro (EUR). The official currency in Netherlands is EUR.

Insurance

The congress organisers cannot accept liability for personal injuries sustained, or for loss or damage of property belonging to conference participants, either during, or as a result of the meeting. Please check the validity of your own insurance.

Travel

By Taxi: The fare for taxis to the congress centre ranges from €20 to €30.

By Bus: Take the Airport Shuttle Bus, Line EA, from Aeropuerto de Sevilla (Arrivals) to Auxiliar Kansas City (Santa Justa train station). Then transfer to bus line C4 from Seville Santa Justa Train Station to Palacio de Congresos (Congress venue).
